Privacy Policy - Recruitment

1. Introduction
In connection with any employment application you make to us, we will collect, hold, use or disclose your personal information in accordance with this policy.

2. Location
In addition to any information held in the UK (and in the office for which you are applying for work if in one of our offices outside the UK), some or all of your data will be held on databases using servers or other equipment based outside the European Economic Area including in India and the USA.  We use third party contractors owing duties of confidentiality to us for such purposes.

3. Access
Your data will be shared and discussed with those people in the firm who are involved in the recruitment process. We will also disclose your personal details if we believe in good faith it is necessary for the prevention or detection of crime or that we are required to do so by law, by order of a court of competent jurisdiction, or in connection with legal proceedings.

4. Data held
As part of the recruitment process, the information you will be asked to provide will include contact details, details of your qualifications, employment experience and preferences as well as other sensitive personal information such as details of criminal convictions and your immigration status. You will also be invited (but not required) to provide information to enable us to monitor the diversity characteristics of our applicants.  

You will be able to access and update your contact details, CV and other information supplied and held on the database using a password-protected account.

We ask for references as part of our recruitment process, but we will only do this with your express permission and knowledge and, especially in the case of current employer references, usually only once an offer has been accepted.

If your application is successful, we are also likely to ask you to provide information about your health (to ensure you are fit for work and to protect your health and safety at work) and your bank account and other financially relevant details (for tax and payroll purposes). If you prefer, you may provide this information outside our on-line recruitment process.

5. Retention of data
If we employ or otherwise engage you as a result of your application, your data will then form part of your employment record, held on your personnel file and will be held and used in accordance with our data protection policy for employee records which will be made available to you at that time.

If your application is unsuccessful, we will retain your details for up to 12 months to allow us to monitor and improve our recruitment processes, to inform you of any other roles we believe might be of interest to you and for reference should you re-apply to us within that period. With your permission, we may retain your details for longer to advise you of relevant future recruitment opportunities.

6. Consent
By submitting an application, you agree to our holding and using your personal information in the ways outlined above.
